While conducting business meetings are among the most important components of every company's lifeline, setting up face-to-face encounters ironically proves to be one of the biggest hindrances in productivity.

Often laborious and time-consuming, arranging a personal meeting can be a bane even from the outset.

It all begins in one's various attempts to match the schedules of people involved. Imagine a secretary making numerous phone calls to business associates, trying to find one common free time and day in their jam-packed schedules. Two persons are available at a certain time, however, the third party has another engagement. Going back and forth to necessary attendees take hours, and sometimes even days, of finalization.

When finally, everyone has agreed on a certain schedule, the next problem surfaces: travelling time. While this is a big waste of time for people situated in the same city, imagine how especially difficult it is for those who are seas and mountains apart.

These factors, among other hitches, consequently translate to a delay in communication and, just as important, in the exchange of information. As a result, companies produce poor business output.

There have been several attempts to resolve this dilemma. Other forms of liaison have been explored by businessmen, including phone meetings, e-mail brigade and video conferencing. Unfortunately, these alternatives do not seem to have generated significant changes in solving business problems in terms of communication. The same problems — waste of time and money, among others — continue to plague a lot of companies.

Fortunately, the perpetually evolving technology has taken yet another big leap in improving business today. Proving to be the businessmen's new best friend is web conferencing. It virtually, in every sense of that word, puts an end to the challenges of organizing face-to-face meetings, which is why it is being picked up by various business industries.

Combining the strengths of teleconferencing and video conferencing, this latest business tool makes it possible for people to communicate effectively as they would in any personal meeting, minus the hassle.

As a result, there is now a fast-growing demand for web conferencing. Conducting a meeting among a group of people seated in front of their computers is not anymore an expensive trend; it has now become a corporate necessity.

The price of acquiring the necessary tools to enable one to conduct a virtual meeting — a computer, internet connection, phone line, among others — prove to be much less than what would be spent on arranging a physical meeting.

For example, with web conferencing, one does not have to travel to the meeting's venue, which evidently saves travel expenses. This means reduced budget allocation for gasoline, cab fares and even plant ticket fees. Another aspect of cost effectiveness caused by web conferencing is less cost in logistics, such as food and drinks, which companies normally spend on during personal meetings.

Because the people involved in a meeting does not have to travel anymore, web conferencing also means saving valuable time. This proves to be very helpful especially in corporations that have global connections. For instance, the head of Company X, who is based on their main office located in one country, will be able to communicate easily with his contemporaries in various headquarters situated all over the world. This, as opposed to the hours, or even days worth of travelling from one country to another just to attend a few hours of meeting.

Still on the subject of maximizing time, web conferencing also contributes significantly to a faster exchange of information from parties involved. Gone are the days of white boards and markers used in personal meetings, as well as the use of facsimiles, which are often distorted and therefore unclear anyway. With web conferencing, data can be easily transferred from one location to another, with the same quality as the original, with just a few clicks.

Another advantage of web conferencing is convenience, which often translates to less stress. Harried and harassed employees often make numerous mistakes, as opposed to those who are stress-free, since they think more clearly and accurately.

Expectedly, all these factors, when combined, would result to increased productivity. Reduced costs translate to more profits. Saving time on travel and various liaison spell out more opportunities to perform other important work. Faster and clearer exchange of business material mean fast results.
